BUSINESS SOFTWARE · GUYANA

How should a small business in Guyana choose its software?

Start with the work that needs to happen, not with a list of popular apps. The wrong software can digitise a bad process and make it harder to change later.

The goal is not to have more technology. The goal is to reduce friction in the business: fewer missed enquiries, cleaner records, faster service, better stock visibility, clearer staff responsibilities and better information for the owner.

1. Map the workflow first

Write the business process in plain language. How does a customer arrive? What happens next? Who touches the job? Where is information recorded? What can go wrong? Which step currently wastes the most time?

2. Decide what must work on day one

Separate required systems from useful-later features. A new retail business may need sales and stock visibility immediately but can wait for advanced analytics. A salon may need booking before it needs a CRM.

3. Buy standard software when the process is standard

Do not custom-build accounting, email or basic calendars simply because you can. Mature tools are often cheaper and safer when the workflow is common.

4. Configure or build when the workflow is the advantage

Custom work makes sense when the business has special pricing, order stages, permissions, documents, customer rules or integrations that off-the-shelf tools handle badly.

5. Check the Guyana reality

Consider internet reliability, mobile use, WhatsApp-heavy customer communication, local payment options, who will support the system and whether staff can actually learn it.

6. Know your recurring costs

Subscriptions, hosting, support, payment processing, email, storage and third-party APIs continue after launch. A good proposal separates implementation from ongoing operating cost.

7. Keep control of the business data

Know what data the system stores, where it lives, who has access, how backups work and what happens if you change providers.
